Community Coordinator

About Innovation Portal: Innovation Portal (Portal) is a nonprofit incubator and innovation hub accelerating startup growth in Southwest Alabama and the central Gulf Coast. Portal provides a growth-focused space and community for entrepreneurs, innovators, and creatives to work and connect. The flexible workspace provides a variety of membership types with dedicated offices, coworking, commercial space, and meeting rooms. In addition to amazing workspace, we provide targeted programming to encourage successful launch, development, and scaling of local ventures.

About the Position: Innovation Portal is looking to hire a fun-witted, community-oriented, get-stuff-done Community Coordinator (Coordinator). The Coordinator is the ultimate liaison, responsible for engaging with Portal members, guests, and VIPs. The Coordinator shall be the beacon of hospitality and exceptionally organized. S/he will maintain the coworking space and be the forefront of member relations. The Coordinator’s main duty is to provide exemplary customer service to members and building management by creating a connected, engaged, and prosperous coworking environment. This person will be the go-to problem-solver for our members, managing day-to-day operations, membership, member programming, and facilities.

The Exempt position is full time, in-office, and reports directly to the Executive Director (ED).

About you: The Coordinator should understand the concept and value of coworking. S/he will elevate the coworking community ethos while executing the organization’s mission. It is the Coordinator’s responsibility to show up, step up, and provide a 5-star experience to our members, guests, and visitors. Engaging, meeting, and helping people is your thing. If putting dishes away, helping set up an after-hours event, and onboarding a new member while keeping responsive to emails, ensuring billing details are accurate, and making sure there’s plenty of coffee in the kitchen doesn’t do it for you, the Coordinator role may not be the right fit for you. Exceptional customer service – check! You’ll constantly execute new ways to build community and enhance our member experience. You are driven to take ownership, owning your mistakes, learning, and moving forward at a fast pace. You have a growth mindset, take initiative, and will actively look for opportunities to enhance the organization’s impact. The Coordinator must be able to work well with Portal’s various constituents, demonstrating respect + inclusion, and always representing the organization with the utmost integrity.

Responsibilities*:

Administration and Operations (40%): take care of administration/operations related issues like a well-oiled machine

  • Be the initial point of contact on behalf of Innovation Portal
  • Serve as “front of house” for Portal by greeting visitors and serving as a point of service for members, tenants, and guests at the front desk
  • “Open” each morning and prepare the building for members (make coffee, turn on lights), and “close” in the evening (put the dishes away)
  • Monitor accounts payable and receivable; work with the ED to provide monthly revenue reporting
  • Monitor supplies inventory and make suggestions for replenishment as needed
  • Work with IT, security, cleaning, and other contracted vendors regarding service, repairs, improvements, and upkeep
  • Identify and implement new ways for us to become more efficient
  • Keep the space running in a clean and orderly fashion (including brainless tasks like watering plants, washing dishes, writing on white boards, pushing in chairs, making more coffee, and delivering the mail)
  • Provide general property and facilities management
  • Become proficient with our member and event management platform and other hardware and software tools utilized
  • Manage various database and tracking document upkeep; record and track various data and performance metrics; reporting
  • Help select, train, and manage interns

 

Member Liaison + Community Builder (35%): attract new members and keep current members happy

  • Act as a host of the workplace while facilitating the interaction of the community
  • Provide high-level customer service and hospitality to everyone who passes through the space
  • Be well known, easily recognized, and well appreciated by the members
  • Foster an inviting, inclusive, supportive, and productive community within Portal
  • Regularly talk to, connect, and help members
  • Lead tours for potential members, community members, visitors/guests, and VIPs
  • Maintain onboarding and tours schedule; field inquiries regarding both
  • Conduct member onboarding and offboarding; add/remove members from various member management and communication platforms
  • Solve member-related issues to ensure a cohesive community and operational efficiency
  • Research and implement ways that the coworking space can work better for members

 

Member Communications + Marketing (15%): promote Portal membership – and have fun while doing it

  • Manage communications within the space; communicate to members regarding events, programming, + Portal news
  • Manage social media, frequently creating membership-drive campaigns and other campaigns as needed
  • Create member and founder features and distribute on various mediums
  • Create and distribute Portal News newsletter
  • Maintain member portal and membership web page, keeping information current

 

Programs + Event Management (10%): oversee events hosted in our space

  • Programs: build a calendar of events that engages all stakeholders:
    • Current members: lunch + learns, happy hours, and themed parties
    • Future members: lead generation and sales-related events, open houses, and free coworking days
    • Local community: encourage outside organizers to use our event space
  • Event Coordination
    • Manage booking system for space reservations; Approve and monitor reservations
    • Field inquiries regarding meeting room bookings; communicate to understand setup needs and specifications
    • Oversee reservations; provide support and necessary building access
    • Become familiar with all of Portal’s AV offerings, set up AV and troubleshoot as needed
    • Setup and breakdown spaces for non-members
    • Conduct event orientation for members to setup and breakdown on their own
    • Schedule and coordinate with afterhours staff, cleanup, and/or extra security as needed

Qualifications:

  • At least 1-year experience in a professional setting
  • A bachelor’s degree or equivalent work experience
  • Strong organizational abilities
  • Ability to think quickly and efficiently when confronted with a member request
  • Motivated self-starter and creative problem-solver who is able to work with minimal supervision
  • Proactive, approachable, and solution-focused
  • Strong oral and written communication skills, including experience speaking publicly in diverse forums
  • Strong interpersonal skills and the ability to work effectively with a wide variety of people; strong record of teamwork
  • Track record of success accomplishing high-quality results with minimal supervision
  • Proven ability to work in culturally and ethnically diverse environments
  • Ability to understand and work with the variety of hardware and software applications
  • Displays a high-level of ethics, empathy, and dependability
  • Incredibly high level of interest in being part of a startup, helping startups, and entrepreneurship
  • Familiarity with digital marketing and social media. Preferred: experience managing corporate social media campaigns
  • Preferred: experience with written content generation and basic graphic design skills
  • Preferred: experience with Google Workplace, Slack, Salesforce, Proximity, Calendly, Mailchimp, WordPress, Adobe Suite, and/or Hootsuite
  • Preferred: Hotel/catering/event sales/hospitality/planning or marketing experience
  • Preferred: Previous community involvement or networking experience

Salary range is $30,000 – 35,000.
